01. The Challenge

The 2023 Ryder Cup, one of the most prestigious and globally celebrated events in golf, brought a distinct set of challenges as it welcomed teams, stakeholders, and spectators from across the world to Rome, the Eternal City. The event’s primary venue, Marco Simone Golf & Country Club, was situated in a remote countryside location outside the city, lacking the infrastructure and urban amenities typically available to support large crowds, such as shops, restaurants, public transport, and sufficient public facilities.

Ensuring smooth and safe operations across both the city and the rural venue required seamless coordination among a wide range of public and private stakeholders. Ikosaeder was tasked with developing the communication, command, and control protocols necessary to integrate and synchronize operations across the event footprint, which extended from the bustling streets of downtown Rome to the outskirts where the competition took place.

02. The Solution

To meet the event’s complex requirements,
Ikosaeder developed and implemented a multi-tiered approach covering strategic planning, operational readiness, and communication management:

A comprehensive tabletop exercise was conducted, bringing together all delivery partner organizations from both the public and private sectors. This included key emergency services such as police, fire departments, ambulance services, and other critical stakeholders. The exercise was designed to test and refine the integrated Emergency Response Plan, ensuring seamless coordination and communication across all parties. By simulating potential scenarios, the tabletop helped identify areas for improvement and reinforced a unified approach to managing incidents effectively throughout the event.

Ikosaeder coordinated the development of a bilingual Emergency Response Plan to ensure accessibility and clarity for all local and international stakeholders involved in event delivery. Developed through the collaboration of various teams and contributors, this comprehensive document served as a unified guide for maintaining safety during the event. It detailed clear protocols for managing emergencies and provided a structured framework for incident response, enabling timely interventions and robust safety measures throughout the event week across all locations.

Ikosaeder coordinated the design and development of the Event Operations Centre, which served as the central command hub for the event. This facility enabled coordination of operations, real-time monitoring, efficient information sharing, and informed decision-making throughout the event.

During the event, Ikosaeder provided critical operational support from the Event Control Room, ensuring seamless integration between event-specific operations and those of city authorities, transport agencies, and other local stakeholders. Acting as a central coordination point, Ikosaeder facilitated real-time communication, monitored ongoing activities, and addressed emerging issues to maintain smooth operations. Their role was pivotal in synchronizing efforts across various entities, ensuring that event logistics, safety protocols, and stakeholder needs were efficiently managed throughout the event.

03. The Outcome

Ikosaeder’s involvement in the Ryder Cup 2023 established a structured, resilient framework that enabled the event to run smoothly despite its complexity. Key outcomes included:

  • Improved Readiness and Confidence: Through strategic exercises and readiness protocols, all stakeholders were prepared to manage and mitigate risks.
  • Issue Resolution: The event operations centre facilitated quick response times, enabling the team to address issues in real time and maintain a seamless experience for attendees.
  • Legacy of Enhanced Protocols: The C3 and Emergency Response Plans provide the Ryder Cup team with a business case for future events.
